TBC Rental/Service Terms
Changes, Rush Orders, Cancellation
TBC strives to conduct all event advancing as far in advance as possible, but we understand that requirements and timelines can change. The following terms and conditions apply to change orders and rush orders.
- Change order within 24 hours of load in or job beginning
- Possible discounts would not apply to changes or additions
- New Orders within 24 hours of load in or job beginning
- Standard discount structure not available
- Possible upcharge for expedited event
- Cancellation of event
- 5+ days in advance - no charge
- 5 days to 49 hours in advance - 50% payment is due
- 48 hours or less - full payment is due
- Reschedule of event
- If 3+ days in advance deposit will be applied to the new date, minus any expenses incurred from cross-rentals, labor prep or other
- If TBC cannot accommodate the new date, any deposit paid will be forfeited
Weather Policy
- For any weather-related cancellation occurring
(a) on the day of the event, or
(b) once load-in has begun;
full payment is due - For weather-related cancellations made at least 24 hours prior to scheduled load-in time - 50% payment is due
- For weather-related cancellations made at least 48 hours prior to scheduled load-in time - no further charges will be due. Client will be billed for expenses incurred prior to cancellation, including cross-rental fees and labor.
Insurance Requirements
- For all “dry-hire” rentals, clients will be required to provide a Certificate of Insurance that covers the duration of the equipment’s rental for all possible loss and damage, insures the equipment for at least the “Minimum Insurance Replacement Value,” and names The Backline Company as the “Loss Payee” and/or “Additionally Insured.”
Hospitality Requirements
The following Hospitality Requirements must be met by clients requiring the services of TBC personnel and will be charged to the client if not provided by the client
- All Outdoor events
- Water available at all times on-site at the stage
- Electrolyte Replacement Beverage available at all times on-site at the stage
- Weather Protection must be provided for TBC equipment and personnel. This includes, but is not limited to, rain, snow, hail, sleet, extreme heat, extreme cold, and high winds.
- Hotels may be required for all event days, and may be required in the following circumstances:
(a) the day before for early load in days,
(b) for events that require TBC staff to be on-site for multiple days, and
(c) if the venue is situated more than two hours driving time from the TBC location servicing the event. Check out will be the morning after the end of services. - Ground Transportation may be required, as necessary.
Labor Conditions
The following meal, rest, and transportation requirements must be met by clients, and expenses will be charged to clients if not provided by the client.
- 15-minute comfort break every 2.5 hours of on-the-clock time
- Meal break after 5 hours of on-site time
- Walk Away Meal - one hour off the clock
- On-Site Provided Meal - 30 minutes still on the clock
- All time is calculated on the half hour.
- Parking Fees may apply. Fees will vary by city/venue.
- Travel charges may be necessary for crew.
- Per diem may be required and will be charged at the rate consistent with the US General Services Administration published rates
Past Due Balance Policy
If any invoices remain unpaid past their due date, the following actions will be taken:
- Loss of Discount: Any discounts previously offered will be temporarily suspended until the outstanding balance is settled in full or a plan for repayment has been made with the TBC finance team.
- Cash on Delivery (COD): All future orders will be processed on a Cash on Delivery basis. This means payment in full will be required upon delivery or before services are rendered until the outstanding balance is settled in full or a plan for repayment has been made with the TBC finance team.
We understand that unforeseen circumstances can arise, leading to delays in payments. If you anticipate any difficulties in meeting your payment obligations, please contact us as soon as possible. We are willing to work with you to find a mutually agreeable solution.
Once all past due balances are resolved, your account will be reinstated to its previous status, and any applicable discounts will be reapplied.
